Participation Regulations & Contract Conditions

ARTICLE 1 DEFINITION OF TERMS
‘Exhibitor’ refers to companies, associations, organizations and individuals submitting an application to exhibit at Coex Food Week 2024.
‘Exhibition’ refers to Coex Food Week 2024.
‘Organizer’ refers to Coex and the Coex Food Week 2024 secretariat .
‘GSC (General Service Contractor)’ refers to the Coex MICE Strategy and Management Team who provide services integral to the management of the exhibition.

ARTICLE 2 ALLOCATION OF EXHIBITION SPACE
Booth locations are to be decided by the Organizer and are based on the order in which applications are received, booth content and exhibited items, as well as other applicable influences. In the case of unavoidable or unalterable circumstances, the Organizer has the right to change the allocated space for booths as long as it is before the exhibition preparation period. The Organizer shall not be liable for compensation to Exhibitors owing to booth space allocation changes.

ARTICLE 3 PAYMENTS AND PARTICIPATION FEE
Application forms must be submitted to Coex, Seoul, and at least 50% of the total booth fee paid within seven days of application submission. Booth spaces are allocated on a first come first serve basis and cannot be reserved until down payment is received. All remaining participation fees should be completed according to the guidelines on the application form. The participation fees include booth hire, venue costs, 24 hour security, hallway cleaning, provision of PR data, exhibition directory and provision of all other information necessary for participation in the exhibition. Failure to make booth fee payments by the required dates may result in the loss of booth reservation. In additional, foreign exhibitors are required to pay VAT according to the Korean Value-Added Tax Act. The Principle of Reciprocity in Application of Zero Tax Rate shall apply only for the following countries: Greece, South Africa, Netherlands, Norway, New Zealand, Denmark, Lebanon, Liberia, Malaysia, USA, Venezuela, Belgium, Saudi Arabia, Germany, Sweden, Switzerland, Singapore, United Kingdom, Iran, Italy, India, Indonesia, Japan, Taiwan, Chile, Canada, Thailand, Panama, Finland, Pakistan, Australia, Hong Kong, France.

ARTICLE 4 BOOTH INSTALLATION AND DISMANTLING
Installation and dismantlement of booths must be completed within the period of time stipulated by the Organizer (to be communicated in Exhibitor’s Service Manual). Booths may not under any circumstances be dismantled before the time and date specified in the Exhibitor’s Service Manual and any losses to the Exhibition incurred due to Exhibitor set-up or take-down delays must be compensated to the Organizer by the Exhibitor.

ARTICLE 5 INSURANCE, SAFTEY AND SECURITY
The Exhibitor must have insurance for all equipment and exhibits for the installation and dismantlement periods, and for the duration of the show. The Organizer will take appropriate measures to protect the rights of exhibitors and visitors, however ultimate liability of all exhibited items in terms of loss, theft, damage or related acts resides with the exhibitors. All materials used within stands and booths must be incombustible according to fire safety acts.

ARTICLE 6 PROVIDING INFORMATION TO THE ORGANIZER
Accurate data and information on exhibiting items and booth contents must be provided by the Exhibitor to the Organizer in order to confirm that all materials comply with the rules and regulations of the Exhibition. The Exhibitor is also obliged to provide the Organizer with company information necessary for the promotion of Coex Food Week 2024.

ARTICLE 7 EXHIBITION BOOTH MANAGEMENT
Exhibitors should showcase only items relevant to those listed in the application. Major changes to exhibit content must be notified to the Organizer and the Organizer reserves the right to deny changes detrimental or inappropriate to the show. Exhibitor’s agents should staff the booth at all times and no activities shall be conducted beyond each Exhibitor’s allocated space.

ARTICLE 8 SUB-LEASING OF BOOTHS
Under no circumstances may exhibitors assign all or part of the already allocated booth location to a third party without the approval of the Organizer.

ARTICLE 9 RESTRICTION ON SALES
The purpose of the Exhibition is to showcase items and products to visitors and buyers, and thus Exhibitors are prohibited from selling products over-the-counter within the Exhibition. Sales activities are permitted only at the specifically allocated areas set aside by the Organizer or GSC and taxes and other technicalities entailed by such activities are the sole responsibility of the Exhibitors. Promotional giveaways that do not involve the exchange of currency for goods are permitted provided they do not cause disruption to other exhibitor booths or visitors.

ARTICLE 10 BREACHES OF CONTRACT
In the case that the Exhibitor declines to use space allocated, fails to submit payments by the deadlines set, or fails to comply with regulations set out by the Organizers, the Organizers reserve the right to void the application and participation fees will not be refunded.

ARTICLE 11 CHANGES OR AMENDMENTS TO CONTRACT
In the case that the Exhibitor decides to downgrade floor space applied for, the following penalties will be applied and must be paid within 15 days of the application for amendment. If the exhibitor has already paid the participation fees in full, the penalty will be deducted and the remainder refunded if necessary.
- Cancellation 60 days or more before the opening date : 50% of total exhibition fee
- Cancellation between 60 and 30 days before the opening date : 80% of total exhibition fee
- Cancellation 30 days or less before the opening date : No refund

ARTICLE 12 CANCELLATION OF CONTRACT
In the event that the Exhibitor decides to cancel their participation, the following penalties will be applied and must be paid to the Organizers within 15 days of cancellation. If the exhibitor has already paid the participation fees in full, the penalty will be deducted and the remainder refunded if necessary.
- Cancellation 60 days or more before the opening date : 50% of total exhibition fee
- Cancellation between 60 and 30 days before the opening date : 80% of total exhibition fee
- Cancellation 30 days or less before the opening date : No refund

There is no fund under any circumstances after the above guideline, including the event that the Exhibitor’s visa gets rejected by the Embassy. In that case, the Organizer will transfer the participation fee to be used the following year. This will be done only once and is not refundable.

ARTICLE 13 FORCE MAJURE
Neither party is responsible for any delay or failure in performance of any part of this Agreement to the extent caused by an act of God, war, government regulation, terrorism, civil disorder, curtailment of transportation facilities, or any other emergency of a comparable nature beyond the affected party’s control (each a "Force Majeure Event"), making it impossible, illegal, or otherwise materially affecting a party's ability to perform its obligations under this Agreement.

ARTICLE 14 ADDITIONAL RULES AND REGULATIONS
The Organizer reserves the right to supplement or amend existing Rules and Regulations stipulated in this contract. These regulations must be observed by Exhibitors alongside the overall rules and regulations of Coex center. Matters not mentioned in this contract follow the related regulations and laws designated by the Organizer.

ARTICLE 15 RESOLUTION OF DISPUTES
Disputes between Exhibitors and the Organizer will be arbitrated by the Korea Commercial Arbitration Board and their resolution will be binding to both parties.

ARTICLE 16 CLEAN FULFILLMENT OF CONTRACT
The Organizer and Exhibitor must not directly or indirectly request or provide any sort of inappropriate granting such as bribable services or money. Both parties must mutually strive to maintain a clean and transparent trading environment and fair trade orders.


Terms and Conditions

Article 1. Purpose
The purpose of these Terms of Use is to outline the rights, obligations, and liabilities of the Coex Food Week operated by Coex Co., Ltd. (hereinafter referred to as “Coex”) and users of the Internet-based services (hereinafter referred to as “Service(s)”) provided by Coex.

Article 2. Membership Subscription
A. A User may apply for membership by entering their personal details into a subscription form prescribed by Coex and indicating their consent to these Terms of Use.
B. An agreement for membership shall be formed when approval by Coex is sent to a relevant member.
C. In the event that there is a change in a member’s registration information, the member shall immediately notify Coex of the change(s) by e-mail, etc.
D. The services under agreements for membership subscription or electronic commerce transactions shall be provided only to persons over fourteen (14) years old.

Article 3. Protection of Personal Information
A. Coex shall collect the minimum level of information necessary to perform a purchase agreement in collecting information from Users.
B. When Coex collects personal information that can identity a User, it must obtain consent from the User.
C. Coex may not use or provide the collected personal information to a third party without the User’s consent, and Coex shall be held liable for any breach.
D. Coex shall limit access to personal information on a need-to-know basis and minimize the number of employees handling such personal information.
E. When Coex or a third party that has received personal information from Coex has fulfilled the purpose of collection and provision of personal information, they shall destroy the personal information without delay.

Article 4. Duties of Coex
A. Coex shall not engage in any activity prohibited by law, these Terms of Use or actions against public order and morality, and shall use its best efforts to provide goods or services continuously and stably as set forth in these Terms of Use.
B. Coex shall have a security system to protect Users’ personal information (including credit information) to ensure that Users can safely use the Internet services.
C. When Coex causes damages to Users by engaging in unreasonable labeling or advertising activities, it shall compensate for those damages.
D. Coex shall not send advertising e-mails for profitable purposes that Users do not wish to receive.

Article 5. Duties of Users
Users shall not engage in any of the following activities:
A. Registering false information when applying for membership or otherwise providing inaccurate information;
B.. Misappropriating the information of third parties;
C. Changing information posted on Coex;
D. Sending or posting information (computer programs, etc.) other than the information specified by Coex;
E. Infringing upon the intellectual property rights of Coex or other third parties, such as copyrights;
F. Undermining the reputations or obstructing the operations for Coex or other third parties; or
G. Disclosing or posting on the mall any obscene or violent messages, videos, voices, or any other information against public order and morality.

Article 6. Ownership of Copyrights and Restrictions on Use
A. Coex shall hold the ownership to copyrights on the works prepared by Coex and any other intellectual property rights.
B. Users shall not reproduce, alter, send, publish, distribute, broadcast, or use for profitable purposes in any other way, or cause a third party to use the information to which Coex has intellectual property rights without prior approval by Coex.
C. Where Coex uses any copyrights owned by a User under these Terms of Use, it shall notify the User thereof.

Article 7. Dispute Resolution
A. Coex shall establish and operate a damages compensation organization to reflect reasonable opinions or complaints presented by Users and handle compensation for the damages.
B. Coex shall handle complaints and opinions presented by Users promptly; however, if it is difficult to handle a matter promptly, Coex shall immediately notify Users of the reasons and a schedule for handling.
C. Where a User applies for remedy for damages with respect to an electronic commerce transaction-related dispute between Coex and the User, the User may comply with mediation by the Fair Trade Commission or a dispute mediation authority as requested by a city or province governor.


Privacy Policy / Policy for entrusting personal information and providing it to a third party

Coex Co., Ltd. attaches great importance to protecting the customer's privacy and complies with the Personal Information Protection Act and the Information Communication Network Promotion and Information Protection Act. Coex Co., Ltd. will inform you of the purpose and how the personal information provided by the customer is used and what measures are being taken to protect the personal information through the personal information processing policy.

Article 1. Purpose of Collecting and Using Personal Information
Coex Co., Ltd. collects personal information of customers as below to provide better quality services to users such as membership registration, smooth customer consultation and various services.

A. Purpose of use
① Pre-registration for the exhibition
② Contract fulfillment and fare allocation for service providing
③ Application for marketing and advertising
④ Statistics audit for the exhibition certificate

B. Collection Items of Personal Information

Article 2. Personal Information Retention and Use of Period
A. Coex Co., Ltd. shall destroy the personal information of the member without delay when the purpose of collection of the personal information is achieved

B. When there needs to be retained for the reason of confirmation of relationship related with transaction in accordance with related laws and internal policies, the purpose of collecting personal information above is to be held for a certain period of time although the principle of immediate cancellation will be activated as soon as it reached the purpose of collecting.

Article 3. Personal Information Sharing and Third Party Provision
A. Coex Co., Ltd. shall not use the personal information of the customer beyond the notice stated in the purpose of collecting and using personal information except for the consent of the customer or the provisions of related laws and regulations.

② Digital business card service: Coex Food Week exhibitors
③ Audit for the exhibition certificate: Association of Korea Exhibition Industry

Affiliates above shall destroy the personal information of the member without delay when the purpose of collection of the personal information is achieved

Article 4. Consignment of Handling Personal Information
A. Coex Co., Ltd. entrusts the following personal information handling tasks to external professional companies for service implementation.
- Visitors’ registration service: EIMS International Co., Ltd.

Article 5. Procedures and Methods of Personal Information Destruction

A. Discard procedure
① Information entered by a user is transferred to a separate DB after the purpose is achieved (separate filing cabinet in case of paper). According to the internal policy and other information protection reasons. It is stored for a certain period and then destroyed.
② This personal information will not be used for any other purpose other than those held by law.

B. How to destroy
① Personal information printed on paper is crushed by crusher or destroyed by incineration.
② Personal information stored in the form of an electronic file is deleted using a technical method that cannot reproduce the record.

Article 6. Sending Advertising Information

A. Coex Co., Ltd. does not transmit commercial information for commercial purposes without prior consent of the customer.
B. When Coex Co., Ltd. sends the advertisement information by e-mail in order to optimize marketing for customers such as event information guide, it contains the customer's prior consent about the advertisement information transmission.
C. When sender transmits commercial information for commercial purposes to the customer who agrees to receive the advertisement via other than e-mail, such as facsimile or mobile phone text transmission, they takes necessary measures such as indicating the name of the sender. Take action to make it easier for you to find out: The name, contact, e-mail, address, and withdrawal notice of the sender,
